Payment tracking helps the team distinguish what is expected from what has been reviewed and recorded. REX-OPS connects payment plans and transaction information with the property workflow so finance, sales and operations can coordinate on the same deal.
Start from approved terms
Confirm the contract or commercial terms before entering a payment schedule. Review the currency, amounts, dates and the event that triggers each milestone. Identify the person responsible for maintaining the schedule and the person authorised to confirm a payment.
- Reconcile the schedule total with the approved transaction amount.
- Distinguish a fixed date from a construction or contract milestone.
- Record references that connect the schedule to the deal and property.
- Agree how changes to the payment plan are approved.
Keep expectations and receipts separate
An expected payment is not the same as a received payment. A buyer sharing a receipt is also a separate event from finance confirming the funds. Preserve these distinctions in the records and review process used by your team.
Attach or reference supporting material in the approved location. Review the payer, amount, currency, recipient and transaction reference before confirming the record. If the payment needs legal or escrow review, route it to the responsible person.
Reconcile with the authoritative source
Use the authorised banking or financial record to confirm money movement. Investigate missing references, partial amounts, duplicates and discrepancies before completing the corresponding milestone.
Review upcoming and overdue work
Use the payment and deal information available in your workspace to review upcoming milestones and unresolved receipts. Assign an owner for follow-up and record the outcome so sales and operations do not rely on a separate conversation to understand the status.
If a payment date or amount changes, retain the reason and approval. Review the effect on the deal, document workflow and any buyer-facing schedule before making the change visible externally.
Share buyer-facing information carefully
Only publish the payment details intended for the buyer through the configured portal workflow. Verify the receiving view, particularly after changing a schedule or correcting a payment record. Internal finance notes should remain within the appropriate access boundary.
