Move enquiries into owned deals

Keep lead sources, ownership, next actions and property decisions connected as an opportunity progresses.

An enquiry becomes useful when the team knows where it came from, who owns it and what should happen next. REX-OPS connects lead and deal records with activity, tasks and inventory so that the handoff between people remains visible.

Review the incoming record

Check the customer's contact details and the source of the enquiry. Confirm which project or property attracted the interest and whether the customer already has an active record. Preserve useful source and campaign information rather than replacing it with a generic label.

Automated intake can help organise records, but an uncertain classification still needs review. If an enquiry appears in a spam or review workflow, inspect the original context before restoring or dismissing it through your team's agreed process.

Establish ownership and requirements

Assign an accountable owner. Record the customer's requirements in a form the next colleague can use: budget, property type, location, timing and important constraints. Capture the preferred contact channel and any communication limitations.

  • Record the next action and a realistic due date.
  • Distinguish a customer preference from a confirmed requirement.
  • Keep relevant communication on the record so the history survives a handoff.
  • Follow your workspace's client-registration and protection rules when a partner is involved.

Connect the opportunity to inventory

When the discussion becomes specific, check current inventory and link the opportunity to the intended property through the available deal workflow. Review the unit status and commercial terms before making a commitment to the buyer.

If a customer considers several properties, maintain the context of the alternatives. Use a collection for the buyer-facing selection while keeping the opportunity and its next action clear internally.

Advance with evidence

Move a deal when the conditions for the next stage are met. Depending on your process, the evidence may include a viewing outcome, confirmed reservation, approved document or payment review. Agree these conditions during setup so stages carry the same meaning across the team.

Review the pipeline as a team

Prioritise unassigned records, overdue next actions and deals with no recent progress. When an opportunity is lost or deferred, record the reason and any future action. This creates a useful management view and makes recurring objections easier to investigate.
