Prepare documents and signing

Keep document versions, parties and signing progress connected to the correct property transaction.

Document work depends on accurate transaction data. REX-OPS connects legal and signing workflows with the deal so that the team can follow which document is being prepared, who is involved and what remains to be completed.

Check the underlying deal

Before preparing a document, confirm the buyer identity details, company or ownership structure where relevant, project and unit reference, price and agreed payment terms. Resolve differences between the deal record and the approved commercial terms before circulating a document.

Assign a person responsible for the document and identify who can approve its use. Separate preparing a document from approving the legal terms.

Use an approved template and version

Select the template appropriate to the transaction in your configured workflow. Review the fields populated from the deal and any terms that require manual approval. Confirm the version before sharing it with a buyer or partner.

  • Check parties, names and contact information.
  • Check the property reference and commercial amounts.
  • Review attachments and document-specific requirements.
  • Identify all signers and any witness or additional approval required by the process.

Follow the signing workflow

REX Sign supports document preparation and signing workflows, including the sales-office context. Use the signing method enabled and approved for your workspace. Tell participants what they are signing and how to review the document before completing it.

Monitor the signing status and participant timeline available on the record. If a signer cannot proceed, check the intended recipient, document version and outstanding requirements before sending another copy. Avoid creating parallel versions without a clear reason.

Review completion

Confirm that the required participants and document steps are complete. Keep the completed document connected to the correct transaction and verify that the next team can access what it needs. Update the deal or legal workflow according to your configured stage rules.

A document marked complete does not establish that a related payment was received. Check payment evidence separately through the payment-tracking workflow.

Handle corrections deliberately

If terms change after a document is prepared or signed, involve the responsible legal owner. Preserve the earlier version and its context. Follow the agreed replacement or amendment process instead of silently altering a completed record.
