The buyer-facing workflow gives the customer a place to follow the information shared about their transaction. REX-OPS connects this view with the deal, documents, payment schedule and post-sale coordination available in your workspace.
Confirm identity and transaction links
Review the buyer record and the deal before granting access. Check that the right person is connected to the correct property and that their contact information is current. Identify who is responsible for inviting the buyer and handling access questions.
Where a transaction involves several people or a company, agree the authorised participants before sharing documents. Do not use a forwarded invitation as a substitute for confirming who should receive access.
Decide what to publish
Review the information intended for the customer. Make sure descriptions and milestones are understandable outside the internal team. Keep internal notes, partner-only information and restricted financial details outside the buyer-facing view.
- Confirm the property and deal reference.
- Check the status or progress information being shared.
- Review documents and the payment schedule approved for the buyer.
- Identify the contact or process for questions about the transaction.
Verify the receiving experience
Review the buyer view as part of onboarding and after important configuration changes. Check that the customer can access the intended information and that other transactions are outside their scope.
Use a representative device size, including mobile. Important documents and updates should remain readable without relying on internal training or knowledge of your stage names.
Maintain a useful update rhythm
Keep the underlying transaction records current. When a document, milestone or payment schedule changes, confirm which changes appear in the buyer-facing workflow and whether a separate explanation is needed.
The portal supports communication; it does not remove the need for a responsible person. Give buyers a clear route for questions that need judgement, negotiation or a correction to the record.
Coordinate handover and follow-up
Review the post-sale capabilities included in your workspace and agree ownership of handover, outstanding items and subsequent communication. A buyer should understand what has been completed, what remains open and who is following up.
If a buyer cannot access information, check their identity, transaction association and permissions before broadening access. See roles and access, payment tracking and the Buyer Portal overview.
